What Happens After You Buy an Alcove Pod: Installation, Coverage, and Your First Year

Most people who research office pods spend the bulk of their time on the product itself. Acoustic ratings, certification standards, dimensions, lead times. That research is worth doing.


But there is a question that often comes up after the purchase decision has been made, sometimes right as contracts are being finalized: what does support actually look like? What happens if something needs replacing? Who shows up if there is a problem, and what does that cost?


For most pod brands, those questions lead to a quote form, a vague warranty summary, or a phone call where the answers vary by rep. At Alcove, the answers are in writing, with numbers attached. That is not by accident. It is the same structural choice that sets the price.




The model behind the price

Alcove's pricing is honest because its business model is designed to be. Most brands in this category carry significant overhead: showrooms, distributor networks, account managers. That overhead ends up inside the product price whether the buyer needs any of it or not.


Alcove builds to the same acoustic certification standards as the category's most rigorous benchmarks. ISO 23351-1:2020 on Aura and Atom. STC 30dB and full UL certification on Element. The product quality is there. The overhead is not, and neither is the markup that covers it.

Installation: flat-rate, sized to the pod

Installation at Alcove is a fixed fee per pod, not an hourly rate or a quote that changes on the day. Pods under $10,000 install at $1,500 per pod. Pods at $10,000 and above install at $2,500. Both rates cover delivery, placement, leveling, electrical hookup, and an on-site walkthrough with your facilities team.


For larger orders, single-site deployments, and weekday installs, Alcove typically reduces the per-pod rate. That discount is quoted alongside your order, before installation begins.

An order runs across three milestones:

Your first seven days

Regardless of which service plan you are on, the first seven days after installation are covered in full: all parts, all labor, no exclusions and no claims process. If anything is going to surface, it usually surfaces in that window. Alcove covers it entirely.


This is not a warranty with fine print. It is a straightforward period of complete coverage included with every purchase, on every plan.



Standard Care and Premium Care: two plans, one clear difference

After day seven, your Alcove Pod Care plan takes over. Every pod ships with Standard Care included for the first year at no additional charge. Premium Care is available for installations where you want Alcove to handle more.

The core difference is not the level of coverage. Both plans cover manufacturing and functional defects, include remote support with a 24-hour response time, and come with a preventive maintenance visit schedule. The difference is who handles the work, and how often.

All examples assume a $10,000 pod retail price. Coverage is calculated against pod retail price, not any negotiated discount.


Under Standard Care, most replacement parts are self-installed. Alcove provides a two-minute video walkthrough and a live session with the team. For most offices and most pod deployments, this is the right level of service: the pod is covered, the support is there, and the cost reflects it. Year two renewal is 3% of the pod's retail price, which works out to $300 per year on a $10,000 pod.


Premium Care is for the floors where you want Alcove to show up. Lobby pods, executive floors, high-visibility installations, or any deployment where having a technician handle repairs directly is worth the additional cost. Under Premium Care, labor on warranty repairs is included, preventive maintenance runs four times per year rather than one, wear items like fabric, casters, hinges, and seals are covered, and parts ship next business day. Year one adds 10% of the pod's retail price. Year two and beyond is 12.5% per year.


For most offices, Standard Care is the right choice. For floors where downtime is a visible problem, Premium Care closes that gap.



Onsite service when you need it

Standard Care customers who want a technician on-site for work outside the plan scope can purchase a service block at any time. Pricing is fixed and published, not quoted case by case.

What your first year adds up to

The first year is already covered. Installation is a known number before you sign. The pod ships, arrives, and goes in. Seven days of full coverage follow automatically. Standard Care runs for the first year at no additional charge, including one preventive maintenance visit and remote support with a 24-hour response window.


If something falls outside the coverage scope, service block pricing is fixed and published. If you want to upgrade to Premium Care before or after purchase, that option is available at each annual renewal.

Does Alcove handle installation, or do I need to arrange it separately?

Alcove handles installation directly. The fee is flat-rate: $1,500 per pod for pods under $10,000, and $2,500 per pod for pods at or above $10,000. What is covered under Standard Care in the first year?

Can I switch from Standard Care to Premium Care after purchasing?

Yes. You can switch plans at each annual renewal. Most offices start with Standard Care and upgrade to Premium Care for specific floors or installations where hands-on service is worth the additional cost. There is no penalty for switching, and mixed coverage across a fleet is calculated pod by pod.


What happens if something breaks after the first seven days?

Manufacturing and functional defects are covered by your plan regardless of when they occur. If the issue falls within the Standard Care scope, Alcove ships the part and walks you through installation. If you prefer a technician on-site, you can purchase a service block: a two-hour half-day starts at $150, and a full eight-hour day is $480. Is there a software subscription fee for Alcove pods?

No. Alcove pods run on passive hardware: fans, lights, and a motion sensor. There is no booking platform, no app, and no cloud subscription. The Pod Care plan covers the hardware. Nothing is added to the annual cost for software that is not there.
